Interlibrary Loan Policy
Patron Requests:
A request form MUST be filled out by the patron or the patron information section completed and a copy of the citation(s) attached. Alternately you may fill out the Interlibrary Loan (ILL) request form on the Talbot Research Library's home page.
Basic Policies/Information:
Basic ILL Fees:***
$10.00 minimum fee for Fox Chase and Jeanes staff.
*** If the actual charge from the lending library is higher then the minimum fee, the actual charge will apply.
- RUSH requests: $14.00
- $3.00 flat fee is attached to all OCLC database requests. (Usually books or journals not listed through MEDLINE.)
- Any costs for verifying references online are added to the cost of the ILL ($1.00 - $6.00 approximately).
- Any copyright charges which must be paid will be added to the cost of the ILL as they apply.
- Please be aware of the additional $4.00 per RUSH request, as well as the potential cost of the article - often $14.00 - $21.00. This charge may be higher, especially if a document delivery service has to be used.
- If an item is missing, ILLs on that item will be free for the first year. After the first year of it being missing, regular charges will apply. Rush charges still apply.
- Rush ILLs may be requested for materials at the bindery, in which case only the rush fee will be charged back - not the regular ILL fee (i.e. $4.00 rush charge only)

Basic Inter-Library Loan:
Request forms are available at the sign-out counter. Completed forms should be left in the bin on the ILL & Search office door, or given directly to one of the library staff. Please do not leave completed forms lying anywhere else in the library as they may not be noticed or could be thrown away by mistake.
Each request is processed in the order that it was received with the exception of very long lists. Most requests are processed within 24 hours; usually by the end of the business day on which it was received. This includes any verification reference work to be done on each item.
Requests which come from a computerized literature search should include the article identification number. This number speeds up the transmission of the request and can eliminate additional verfication costs as well as unneccessary delays.
If the patron has a long list of references to request he/she may attach the list or a legible copy of the list to one request form and mark the references that are needed.
When the patron has a long list of references they should be prioritized. If the ILL Dept. has a large backlog, patron requests may be limited to ten (10) per day.
Turn-around Time:
- Articles:
Usually take 5 to 10 business days. Receipt can be quicker, but can also take a few weeks. Length of time depends on who has it and the filling library's turn-around time.
- Books:
Cannot be determined exactly, as each lender treats requests differently, and there may be few lenders available. Please allow 2 weeks minimum.
Rush Requests:
(Any request needed by a definite time limit)
Please note: Books cannot be ordered rush. However, every effort will be made to obtain a book before known deadlines.
Any request with a time limit should be brought to the attention of the library staff - preferably the ILL Technician. Please make sure that it is noted on the request as well.
Time restrictions on RUSH requests
If faxed out before 12:00 noon, requests are usually filled by 5:00 of the same day. If faxed after 12:00, they are usually filled by 12:00 noon of the following day. Not all Rushes can be filled within 24 hours, please allow 24-48 hrs.
Lengthy Rushes: Call patron and ask if FedEx is acceptable (and will they pay charges). Provided the lending library is agreable.
Clinical Rushes - filled within 3 hours. Request must be faxed and accompanied by a phone call.
RUSH Limitations
Rushes can be limited when needed to three (3) per day and a total of ten (10) per week. The limit is imposed because of the amount of time required for faxing requests, and because RUSH providers are scarce.
Rush requests are generally filled by faxing to the library only; legiblility of the faxed article cannot be guaranteed.
Costs for Rush ILLs
Patrons should be made aware of the additional $4.00 charge for RUSH requests, as well as the potential cost of the article. Often $14.00-$21.00, this charge may be higher, especially if a document delivery service is used.
